What we collect
- Account — email, sign-in details (password or Google sign-in), author name. To run your account and sign you in.
- Your books — topics, plans, notes, links you add, generated chapters and images, edit history. To provide the service.
- Billing — credit balance, purchases and refunds (amount, date, payment type, Paddle transaction ID). To charge, refund and keep tax records.
- Feedback you send, with any screenshot you attach. To fix problems.
- Technical — IP address, browser type, error logs. For security, abuse prevention and rate limits.
Card details are entered in Paddle's checkout — we never see or store your card number. We do not use advertising trackers or analytics cookies.
Who processes it
- Paddle — Merchant of Record: payments, tax, receipts. Payment and billing details.
- Amazon Web Services (Frankfurt, EU) — hosting, database, storage, sign-in, email, text embeddings. All of the above.
- Microsoft Azure OpenAI — writing, planning, image generation, content safety. Prompts and book content.
- Google Cloud Vertex AI — back-up image generation. Image prompts.
- Perplexity, Tavily, Serper, Firecrawl — research and reading the web pages you link. Search queries from your topic; your links.
- Langfuse — monitoring AI quality and errors. Shortened prompts and outputs, a pseudonymous user ID.
- Cloudflare — network security and delivery. IP address, request data.
- Google Fonts — web fonts. IP address.
Some providers may process data outside your country, including in the US, under standard contractual safeguards. We do not sell personal data and we do not train AI models on your content.
Cookies and browser storage
We use only what the site needs to work: a secure sign-in cookie (30 days), browser storage for your session, theme and tutorial progress, and a local cache of book images so your pages load faster. Nothing is used for advertising or tracking.
How long we keep it
- Your account and books: while your account is open. Books you delete are erased after 30 days.
- Account deletion: a 72-hour cancel window, then 30 days' grace, then your books, files and sign-in are permanently erased.
- Feedback: 90 days. Server logs: 90 days (billing logs 180). Backups: 7 days.
- Billing, tax and account-deletion records: kept as long as the law requires for tax and audit purposes.
Your rights
You can access, correct, export or delete your data, object to or restrict its use, and complain to your data-protection authority. Delete your account from your profile (we email you an export of your books), or write to [email protected] for anything else. We reply within 30 days.
Emails
We send service emails about your account, books and payments. You can turn off optional emails, such as the weekly free-chapter reminder, by writing to [email protected].
Children
PenMyBook is not for anyone under 18.
Changes
We will update the date above and tell you about material changes.
